1. Introduction

These Booking Terms and Conditions (“Terms”) set out the basis on which psychotherapy and counselling services are provided by the Centre for Mental Wellness (“the Centre”, “we”, “us”). By booking and attending sessions, you confirm that you have read, understood, and agree to these Terms.

All services are delivered in accordance with the BACP Ethical Framework for the Counselling Professions, relevant Good Practice in Action (GPiA) guidance, and applicable UK law.


2. Nature of Online Therapy

a. The Centre provides psychotherapy and counselling services online to clients who are physically located within the United Kingdom at the time of sessions.

b. Online therapy involves the use of secure video or digital communication platforms. While reasonable steps are taken to protect privacy and confidentiality, absolute security cannot be guaranteed when using internet-based technologies. By engaging in online therapy, you acknowledge and accept these limitations.

c. Online therapy may not be appropriate for all presentations or circumstances. The Centre reserves the right to assess suitability and to decline or discontinue online work where it is clinically inappropriate or unsafe.

d. You are responsible for ensuring that you attend sessions from a private, safe, and appropriate environment where confidentiality can be maintained.


3. Practitioner Standards and Scope

a. Therapy is provided by appropriately trained and qualified practitioners who work within their professional competence and adhere to ethical and legal responsibilities.

b. The service provided is not an emergency or crisis service. If you are experiencing acute distress or are at risk of harm to yourself or others, you should contact your GP, NHS 111, local crisis services, or emergency services (999).

c. Where concerns arise that fall outside the scope of this service, appropriate signposting or referrals may be offered.


4. Eligibility and Booking

a. You must be aged 18 years or over and legally able to enter into a binding agreement to access therapy services.

b. Bookings are made via the Centre’s website or authorised booking systems. You agree to provide accurate, current, and complete information as part of the booking process.

c. The Centre reserves the right to refuse or discontinue therapy where continued work is assessed as outside the practitioner’s competence, ethically inappropriate, or not in the client’s best interests.


5. Fees and Payment

a. The fee for each therapy session is £120.

b. All sessions must be paid for in advance of each appointment, unless otherwise agreed in writing. Sessions will not take place unless payment has been received.

c. Fees are confirmed at the time of booking. Any future changes to fees will be communicated in advance and will not affect sessions already booked.


6. Cancellation and Rescheduling

a. A minimum of 24 hours’ notice is required to cancel or reschedule a session.

b. Cancellations made with less than 24 hours’ notice, or failure to attend a scheduled session, will normally result in the full session fee being charged.

c. If a practitioner is unable to attend a session, reasonable notice will be given and an alternative appointment or refund will be offered.


7. Contact Between Sessions

a. Contact between therapy sessions is not included as part of the therapeutic service unless explicitly agreed in advance.

b. Where between-session contact is agreed, this will be limited to email communication only and used for brief, practical, or administrative purposes (for example, scheduling).

c. Therapeutic work, emotional processing, or clinical discussions will not take place outside scheduled sessions.

d. Email communication is not continuously monitored and must not be used for urgent matters or crisis support. In an emergency, you should contact your GP, NHS 111, local crisis services, or emergency services (999).


8. Professional Boundaries and Behaviour

a. The Centre maintains clear professional boundaries in line with the BACP Ethical Framework.

b. Abusive, threatening, discriminatory, or inappropriate behaviour will not be tolerated. Where such behaviour occurs, sessions may be ended immediately and therapy may be discontinued.

c. Serious concerns may be recorded and, where necessary, managed in line with safeguarding responsibilities and legal obligations.


9. Confidentiality and Safeguarding

a. Therapy sessions are confidential and managed in accordance with ethical, legal, and professional standards.

b. Confidentiality may be broken where there is a legal requirement to do so, or where there is a reasonable belief of serious risk of harm to you or others.

c. Brief clinical records are kept for professional, ethical, and legal purposes.


10. Data Protection

a. Personal data is processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Centre’s Privacy Policy.

b. Reasonable technical and organisational measures are taken to protect personal information; however, no online system can be guaranteed to be completely secure.


11. Limitation of Liability

a. The Centre and its practitioners are not liable for indirect or consequential loss arising from the use of online therapy services.

b. No guarantees are made regarding therapeutic outcomes. Therapy is a collaborative process and experiences and outcomes vary between individuals.


12. Governing Law and Jurisdiction

These Terms are governed by the laws of England and Wales. Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.


13. Amendments

The Centre reserves the right to amend these Terms at any time. Updated versions will be published on the website, and continued use of services constitutes acceptance of the revised Terms.
